We are seeking a highly motivated and organized Entry Level Administrative Assistant to join our remote team. Key Responsibilities

  • Direct and guide financial and administrative activities for the remote project office, exercising discretion and independent judgment to meet established objectives.
  • Understand priorities within the office and ensure they are met, anticipating potential problem areas and initiating suitable action.
  • Obtain competitive bids from outside vendors, prepare detailed comparisons, and negotiate contractual terms and conditions.
  • Reconcile office accounts, pay operating bills, and submit documentation to the corporate office for payment, following up as needed to ensure timeliness and avoid late payments.
  • Prepare financial reports as requested by management and keep current on all project and company policies and procedures.
  • Administer the operating budget for the project office, providing input for initial figures and investigating, resolving, and reporting variances to the Project/Operations Manager.
  • Purchase and maintain an inventory of frequently used office supplies and originate correspondence and reports not requiring the personal attention of the Project/Operations Manager.
  • Review time reports, verify accuracy of hours worked and Job#/WBS charges, and track paid-time-off hours charged and maintain a schedule of future hours to be taken.
  • Coordinate telephone changes, office moves, and best utilization of space/equipment, and may supervise lower-level administrative support personnel, assigning work, reviewing completed assignments, and offering training and guidance.

Essential Qualifications

To succeed in this role, you will need:

  • A high school diploma or equivalent required; associate's or bachelor's degree preferred.
  • 1-2 years of administrative experience, preferably in a remote or virtual environment.
  • Excellent communication, organizational, and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail, with a high degree of accuracy and precision in work products.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook, and experience with financial management software and systems.
  • Ability to work independently and as part of a team, with a strong sense of initiative and self-motivation.

Preferred Qualifications

While not required, the following qualifications are preferred:

  • Experience with budgeting and financial management, including preparing and administering budgets.
