Job Overview

We are seeking an experienced and highly skilled Project Manager to join our dynamic team. As a Project Manager at KinderSystems, you will play a pivotal role in the total management of assigned projects, ensuring the successful implementation of our SaaS solutions for state and local government agencies. Your expertise will be crucial in managing project scope, timeline, cost, quality, communications, and risk, ultimately driving long-term customer satisfaction and fostering strong, lasting relationships with our clients.

Key Responsibilities

  • Assist in the planning, execution, management, and closing of projects with assigned customers, ensuring all aspects are meticulously handled to meet customer needs and expectations.
  • Maintain comprehensive project documentation, including drafting and updating project plans, managing project schedules using MS Project, and overseeing project budgets to report any variances.
  • Obtain and document critical sign-off of major milestones, ensuring revenue collection upon milestone completion and collaborating with the Finance department on any customer-related accounting issues.
  • Provide and maintain detailed reports for both internal and external stakeholders, keeping them informed of project progress and any significant developments.
  • Manage customer communications related to service requests or change orders, working closely with the Product Manager to collect requirements, write functional specifications, obtain development estimates, establish pricing, and secure customer approvals.
  • Ensure that all service requests and work performed align with the contracted scope of work, creating change requests for approval and invoicing when necessary.
  • Reconcile and resolve any discrepancies between standard products and applicable contractual requirements, ensuring seamless project execution.
  • Serve as the primary point of contact for customers on assigned projects, acting as a liaison between Product, Development, and the customer, and providing direct support and status reports as needed.
  • Conduct onsite customer visits during the sales, deployment, and maintenance phases of projects, attending and documenting design sessions, and maintaining a record of all customer communications.
  • Track and report on internal and customer-facing Key Performance Indicators (KPIs), assisting the Support department in monitoring customer issues, making regular customer contacts, collecting customer surveys, and maintaining high customer satisfaction metrics.

Who You Are

To excel in this role, you should possess:

  • 2-4+ years of experience as a Project Manager, with a proven track record in successfully delivering complex SaaS software implementation projects to state agencies or similar public sector organizations.
  • A strategic mindset with the ability to think critically and navigate complex project landscapes.
  • Extraordinary professionalism, coupled with exceptional written and verbal communication skills, allowing you to engage effectively with diverse audiences and foster positive, open relationships.
  • A keen eye for detail, with proficiency in spreadsheets and MS Project, and the ability to multitask, prioritize, and shift gears as project demands evolve.
  • Formal project management training, such as Project Management Professional (PMP) Certification from the Project Management Institute, is highly preferred.

Essential Skills and Competencies

  • Strong project management skills, with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the capacity to work effectively with both technical and non-technical stakeholders.
  • Proficiency in project management tools, including MS Project, and experience with project management methodologies such as Agile or Waterfall.
  • Ability to work in a fast-paced environment, prioritizing tasks and managing time efficiently to meet project deadlines.
  • Strong analytical and problem-solving skills, with the ability to troubleshoot and resolve complex project issues.
