Job Overview

Key Responsibilities
- Manage vendor maintenance, process W9 forms, and ensure timely and precise accounts payable processing to guarantee seamless financial operations.
- Facilitate the accurate crediting of scholarship payments to student accounts, communicating with educational institutions to resolve any discrepancies and ensure timely payment processing.
- Oversee invoicing, monitor past-due accounts, and manage collections to guarantee prompt payment receivables and minimize financial losses.
- Process incoming payments into the accounting system (Intacct), ensuring the integrity of financial data and maintaining accurate records.
- Issue donor tax acknowledgment letters while ensuring adherence to tax regulations and maintaining compliance with all relevant laws and regulations.
- Reconcile bank and credit card statements to uphold accurate financial records and detect any discrepancies or irregularities.
- Process staff expense reports, manage reimbursements, and maintain credit card receipt files to ensure timely and accurate payment processing.
- Supervise the control and distribution of in-kind donations and inventory to ensure accurate tracking and reporting.
- Assist with additional tasks as directed by the Director of Finance & HR or CEO to promote the efficiency of financial and HR operations and support the overall mission of the organization.
Essential Qualifications
- A Bachelor’s degree in accounting, finance, or a related field is required, with a minimum of 3 years of relevant accounting experience.
- Experience in nonprofit accounting is advantageous but not mandatory, although a strong understanding of accounting principles and practices is essential.
- Strong understanding of accounting software, particularly Intacct, is preferred, with the ability to quickly learn and adapt to new systems and technologies.
- Exceptional verbal and written communication capabilities, ensuring professional interactions with both team members and external partners, including vendors, donors, and educational institutions.
- Proficient in Microsoft Office and Google Workspace (G-Suite), with the ability to utilize a range of software applications to support financial and HR operations.
Preferred Qualifications
- Certification in accounting or a related field, such as CPA or CMA, is highly desirable, although not required.
- Experience with HR functions, including recruitment, benefits administration, and employee relations, is advantageous, although not mandatory.
- Knowledge of nonprofit accounting regulations and standards, including GAAP and IRS guidelines, is highly desirable.
- Experience with financial analysis and budgeting, including the ability to prepare and present financial reports and budgets, is highly desirable.
