- Position: Executive Assistant to CEO
Key Responsibilities:
As the CEO's right-hand Executive Assistant, you will play a critical role in supporting James Jacobson and ensuring the smooth operation of our business. Your responsibilities will include:
- Providing administrative support to the CEO, including email management, calendar organization, and travel arrangements
- Coordinating projects across various departments, including operations, marketing, customer relations, sales initiatives, podcasting, publishing, and public relations
- Managing and prioritizing tasks, ensuring timely completion and effective communication
- Serving as a liaison between the CEO and employees, clients, and external partners
- Maintaining confidentiality and handling sensitive information with discretion
- Conducting research, preparing reports, and presenting findings to support business decisions
- Troubleshooting technical issues and suggesting improvements to our systems and processes
Administrative Support:
- Manage and prioritize the CEO's incoming and outgoing email using Office 365
- Coordinate the CEO's calendar, ensuring seamless scheduling and minimal conflicts
- Assist in planning appointments, meetings, events, and travel arrangements
- Attend video conference calls and take notes, focusing on next actions for each participant
- Receive and screen phone calls, redirecting them when appropriate
- Create regular reports and update internal databases
- Maintain electronic and paper records, ensuring information is organized and easily accessible using One Drive and SharePoint
Communication and Liaison:
- Act as the point of contact between the CEO and employees, clients, and external partners
- Facilitate internal communication, distributing information and scheduling presentations as needed
- Handle confidential documents, ensuring they remain secure and confidential
Project Management and Coordination:
- Track and update projects in Microsoft Planner/To Do
- Review and recommend changes to our company's standard operating procedures and policies
- Conduct research and prepare presentations or reports as assigned
Operational Efficiency and Support:
- Research and suggest more efficient ways to run the office and troubleshoot malfunctions
- Review credit card statements and provide assistance to our bookkeepers and accountants
Requirements and Qualifications:
To be successful in this role, you should possess:
- A minimum of 3-5 years of experience as an Executive Assistant or in a similar role
- Proven expertise in office management systems, including Microsoft Office 365
- Strong communication and interpersonal skills, with the ability to work effectively with diverse stakeholders
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines
- Highly developed research and analytical skills, with the ability to prepare reports and presentations
- Proficiency in Microsoft Teams, Microsoft To Do, and other productivity tools
- Comfort with virtual technologies, including video conferencing and cloud-based software
- Strong attention to detail, with a focus on accuracy and quality
- Integrity and confidentiality, with the ability to handle sensitive information
Preferred Qualifications:
We would also like to see:
- Experience working in the pet industry or a related field
- Familiarity with CRM systems, such as Hubspot
- Knowledge of Shopify and WordPress
- Previous experience with project management tools, such as Microsoft Planner
