The Role: Your Impact
This contract role requires a critical blend of administrative organization, basic financial management, and project execution. You'll be working autonomously to deliver both essential ongoing support and specific one-time operational projects. You're expected to anticipate needs and provide seamless, proactive support.
Core Responsibilities
Administrative Support:
• Manage executive calendars, schedule appointments, and coordinate logistics for meetings.
• Draft, proofread, and manage professional correspondence, acting as a gatekeeper for designated email inboxes.
• Implement and maintain organized digital filing systems (e.g., Google Workspace/Drive).
Bookkeeping and Financial Management:
• Perform basic bookkeeping tasks, including recording daily financial transactions and reconciling accounts using [QuickBooks Online / Xero / etc.].
• Prepare and dispatch client invoices promptly and accurately; track and follow up on accounts receivable.
• Generate simple weekly or monthly reports on expenses, income, and overall budget status.
Client Relations:
• Anticipate client needs and proactively offer solutions to enhance their operational efficiency.
• Handle client inquiries with professionalism, building trust and ensuring superior service.
Required Qualifications & Experience
• Experience: Minimum of 2 years of verifiable experience in administrative support, executive assistance, or a Virtual Assistant role.
• Education: Associate’s Degree in Business Administration, Accounting, or equivalent professional experience.
• Technical Skills: You're proficient with accounting software (e.g., QuickBooks Online), Google Workspace, and project management tools (e.g., Trello, Asana).
• Remote Work: Demonstrated ability to work autonomously, manage time effectively, and maintain a professional home office setup with a reliable internet connection.
Preferred (A Plus):
• Previous experience supporting clients or businesses within the education industry.
