About the Role

We are looking for a highly detail-oriented and organized individual who can think critically and execute tasks thoroughly. As a Virtual Administrative Assistant, you will play a vital role in supporting our office staff and management team, ensuring the smooth operation of our administrative functions. Your primary responsibilities will include providing administrative support, managing daily, weekly, and monthly tasks, and maintaining effective communication with our team members, managers, and external partners.

Key Responsibilities

  • Provide administrative support to the office staff and management team, including handling daily, weekly, and monthly tasks, such as bookkeeping, accounting, and record-keeping
  • Manage payroll, including bonus structures, labor costs, and cost of goods, to ensure accurate and timely payments
  • Order inventory, products, and supplies for our restaurants, salons, and office, ensuring timely delivery and minimizing stockouts
  • Communicate with and motivate managers regularly regarding operations and administration, providing guidance and support as needed
  • Organize and store all weekly paperwork received from restaurants and salons, maintaining accurate and up-to-date records
  • Check emails, voicemails, and faxes, responding to inquiries and resolving issues in a timely and professional manner

Reporting Relationship

The Virtual Administrative Assistant will work directly with the other office members and report directly to the Owners of the company. You will be an integral part of our team, providing administrative support and ensuring the smooth operation of our office functions.

Scope of Work

The scope of work for this role includes, but is not limited to:

  • Daily, weekly, and monthly bookkeeping and accounting
  • Payroll management, including bonus structures, labor costs, and cost of goods
  • Ordering inventory, products, and supplies for our restaurants, salons, and office
  • Communicating with and motivating managers regarding operations and administration
  • Organizing and storing all weekly paperwork received from restaurants and salons
  • Checking emails, voicemails, and faxes, responding to inquiries and resolving issues in a timely and professional manner

Minimum Requirements

To be considered for this role, you must have:

  • 3-5 years of experience in a related role, preferably in an administrative or office support position
  • Good communication skills, both written and verbal, with the ability to communicate effectively with team members, managers, and external partners
  • Proficiency with the following tools: Gmail, Google Calendar, Google Sheets, Excel, Google Docs, Word, Facebook, and Instagram
  • Extremely detail-oriented and organized, with the ability to prioritize tasks and manage multiple projects simultaneously

Preferred Qualifications

While not required, the following qualifications are preferred:

  • 1 year of experience as an Office Assistant, Human Resources, or Back Office Support
  • 2 years of experience with MS Excel, including creating and maintaining documents and spreadsheets with formulas and formatting
  • QuickBooks experience, with the ability to manage financial transactions and maintain accurate records

Work Location

This is a remote position, with the requirement to work virtually with a video camera and mic on the entire 8-hour shift. You must be able to work independently and collaboratively with others, maintaining a high level of productivity and efficiency.

Compensation and Other Details

The compensation for this role is competitive, with a salary range of $11,700 - $12,000 per year. The schedule is Monday through Friday, 8:30 AM to 5 PM CST, with a 30-minute lunch break. You must be available to work a full-time schedule, with the possibility of overtime as needed. We offer two weeks (80 hours) of PTO and five days (40 hours) of sick time per year, as well as paid holidays, including New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and Christmas Day.
