Why You'll Love This Role
As a Staff Assistant in our Data Entry and Operations Support team, you'll be an integral part of our Airport Stations Group within the Customer Experience Division. You'll have the opportunity to work on a wide range of administrative tasks, including:
* Scheduling meeting plans and coordinating events
* Writing, editing, and proofreading documents
* Ensuring phone coverage and responding to client inquiries
* Managing mail, supplies, and P-card expenses
* Tracking employee onboarding and training
* Coordinating travel and accommodation arrangements
* Processing deprivation letters and local communications
* Handling employee terminations, including allowing and tasks
* Assisting with timekeeping, data entry, and reporting
* Maintaining employee records and station meeting plans
* Preparing and filing security-related documents
* Acting as a backup for finance capabilities
* Overseeing records for OSHA, security, and other compliance requirements
* Assisting with budget planning and forecasting
* Performing other duties as required
What You'll Do
As a Staff Assistant, you'll be responsible for providing administrative support to our team, including:
* Assisting with the planning and execution of management presentations and special events
* Reviewing, auditing, and screening local invoices through InvoiceWorks and distributing as required
* Investigating and resolving office technology issues, including phone and copier machines
* Tracking and ensuring employees complete onboarding obligations, including system access, workspace allocation, and other necessary tasks
* Assisting with station event planning, coordination, and execution
* Handling finance processing in Workbrain for management and care staff
* Processing deprivation letters and arranging local communications and responses
* Overseeing employee terminations, including allowing and tasks
* Assisting with timekeeping capabilities, data entry, data review, compromises, and reporting
* Maintaining employee records and station meeting plans
* Preparing and filing security-related documents
* Acting as a backup for finance capabilities
* Overseeing records for OSHA, security, and other compliance requirements
* Assisting with budget planning and forecasting
* Performing other duties as required
All You'll Need for Success
To excel in this role, you'll need:
* A Bachelor's degree in any field
* Previous office or administrative experience
* Strong knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook
* Familiarity with procedures, policies, and corporate standards
* Ability to focus, be meticulous, and meet deadlines
* Capacity to work in a fast-paced environment and handle multiple tasks
* Self-motivation and ability to work independently
* Strong communication and interpersonal skills
* Ability to understand the functionality and usefulness of specific software and systems
