Job Overview

As an Accounting Data Entry Associate at blithequark, you will be responsible for maximizing refunds for UPS damages claims and ensuring that our suppliers are paid accurately and on time. This is a full-time position, with a schedule of Monday to Friday, 8am to 5pm Eastern Time, with an hour unpaid break. You will be working closely with various internal parties to resolve discrepancies between invoices, purchase orders, and payments, and responding to co-worker and vendor inquiries in a professional and timely manner.

Key Responsibilities

  • Submit UPS and freight damage claims daily, with special attention to older claims, to ensure timely refunds and minimize losses.
  • Complete all damaged and missing package claim paperwork, ensuring accuracy and attention to detail.
  • Review refund checks for accuracy and mark them as paid, maintaining up-to-date records and documentation.
  • Update corresponding documents with the status of each claim, ensuring seamless tracking and follow-up.
  • Conduct price checking and review all invoices for approval prior to payment, ensuring accuracy and compliance with company policies.
  • Resolve inventory discrepancies with internal and external parties, using strong communication and problem-solving skills.
  • Create payments to ensure vendors are paid accurately and in a timely manner, applying discounts appropriately and maintaining positive relationships.
  • Perform data entry using NetSuite, ensuring accuracy and efficiency in all financial transactions.
  • Collaborate with various internal parties to resolve discrepancies between invoices, purchase orders, and payments, using strong analytical and communication skills.
  • Respond to all co-worker and vendor inquiries in a professional and timely manner, providing excellent customer service and support.

Requirements and Qualifications

To be successful in this role, you will need:

  • A Bachelor's degree in Accounting or Business, or a related field, with a strong foundation in financial principles and practices.
  • Proficient data entry skills, with high accuracy and attention to detail.
  • Strong attention to detail, with the ability to review and analyze financial data and documents.
  • A pleasant and personal demeanor, with excellent verbal and written communication skills.
  • Extremely organized, with strong follow-through and the ability to prioritize tasks and manage multiple projects simultaneously.
