As a university-wide office, IU Online provides strategic leadership in delivering online education, leveraging IU's scale, resources, and reputation. In alignment with the IU 2030 Strategic Plan, IU Online is committed to growing student enrollment to 25,000 in online programs by developing innovative programs and services in collaboration with IU's campuses. IU Online, under the Office of the Vice President for Regional Campuses and Online Education (VPRCOE), partners with IU's academic units, as well as University Information Technology Services' (UITS) Learning Technologies (LT) for instructional design and learning technology, and with University Communications and Marketing (UCM) for marketing, to develop, launch, and maintain online programs. As of Fall 2025, IU Online offers 203 academic programs, 57 of which are collaborative academic programs across IU's 9 campuses with an enrollment of 10,385 students. The office manages admissions, recruitment, student services, administration, advising, reporting, program and assessment support, and compliance for online programs. Job Summary The Academic Advisor reports to the Associate Director for Online Undergraduate Advising. This role is responsible for providing information specific to course of study needs with curricular planning assessment to encourage informed decisions for offering, enrolling in, and completing undergraduate online program educational courses and course sequences. Department-Specific Responsibilities Uses knowledge of university contacts, systems, and services that facilitate student progression and refers students to appropriate campus resources, such as academic support resources, writing and math centers, career service opportunities, etc. Works with scheduling professionals to understand the capacities of each campus to support academic programs and recommend number of sections based on student demand, and schedules students accordingly. Works with campus registrars to make sure courses are scheduled correctly with accurate pre-requisite and requirement coding. Interfaces with program representative and/or faculty committees to discuss possible degree and/or certification requirement changes and shares student feedback. Utilizes relationship management skills and the online collaborative model framework to navigate and work across university departments and campuses to provide timely (less than 24 business hours), accurate, and concise turn-around responses to student and faculty inquiries. Creates, updates, and disseminates advising materials, such as degree maps, Frequently Asked Questions (FAQ), etc. Supports the transfer credit process and posting. May conduct graduate audits and degree conferrals. General Responsibilities Provides academic counseling for students pursuing or considering majors, minors, or certificates. Guides students in planning their course of study in concert with the departments' curricular requirements. Explains curriculum requirements and school and campus policies. Meets with students in groups and 1-on-1 to guide students in academic programs that will meet their educational needs and the requirements of their chosen major, minor, and/or certificate. Assists students in making informed decisions about a choice of major and potential career or graduate school direction. Helps students to assess their interests, values, and academic skills and to understand these in relation to major choice and potential future career/graduate school options. Teaches students how to navigate university systems, academic processes, and policies. Empowers student accountability in academic decisions about courses, career direction, and long-term plans. Provides guidance on avenues for increased involvement as an IU student and in the IU community. Refers students to appropriate campus resources, such as academic support resources, placement programs, internship and overseas study opportunities, etc. Tracks and monitors students' academic progress, reviews and maintains confidential student records to ensure that students meet requirements and to document advising discussions, and communicates this information in a timely manner to students and to appropriate academic offices when necessary. Represents the advising function as a presenter at campus meetings and recruiting functions. Assists in developing written advising materials for use in student events. Researches, recommends, or creates best practices for unit or campus initiatives, projects, processes, or programs and may provide guidance to other Academic Advisors. Qualifications Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education. EDUCATION Required Master's degree in related field. WORK EXPERIENCE Required 2 years in student affairs, teaching, academic advising, or related field. Preferred 3 years in student affairs, teaching, academic advising, or related field. Experience in a student-focused, higher education environment is highly desired. SKILLS Required Proficient written and verbal communication skills. Maintains a high degree of professionalism. Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
