Position Summary:
The Shipping & Receiving Administrative Assistant is to assist with the scheduling of all outbound shipments along with the inbound and outbound processing of trucks to ensure a smooth flow and timely processing. This position reports directly to the Lead Dock Coordinator
Essential Duties and Responsibilities include the following. Other duties may be assigned.
?Preparation of correspondence, documents, meeting materials, presentations, etc.
?Manage reception area, greet and assist visitors and customers
?Manage office supplies and printing within budget and negotiate pricing including equipment work orders as needed
?Local errands to include purchasing miscellaneous supplies, printing services, purchase postage and/or send packages via postal service, Federal Express, UPS
?Assist in coordinate logistics transactions including scheduling of inbound/outbound loads daily
?Align shipments to achieve maximum efficiency for the Distribution Centers.
?Load Planning every load maximizing the space utilization to ensure we are as close to but do not exceed max weight.
?Generate BOL? for each load.
?Assist CBG team as needed (questions on coordinating logistics & estimated ship, etc.)
?Provides paperwork to customers as required.
?Review accuracy of sales order data entry.
?Review and align scheduling to meet customer requirements.
?Check staged loads daily to ensure orders are able to be shipped and are not missing product
?Sign-in/Sign-out trucks for in compliance with the company truck check-in/out SOP
?Identify trailer sizes and communicate to forklift operators on load sheets
?Sign drivers out with correct BOL? to match load and destination
?Ensure all drivers have the correct load and that the load/equipment is securing prior to going to a dock (i.e. dock locks or straps)
?Ensure all drivers have valid identification to pick up load (i.e. drivers license, green card, passport)
?Ensure that all drivers have correct paperwork (inbound or outbound)
?Determine trailer status (pass/fail, good/bad)
?It is the DC responsibility to ensure that all trailers are inspected prior to backing to the dock. Please reference DC Carrier Letter for what determines pass fail.
?Communicate standard loading patterns to drivers and get approved and signed off preferred loading patterns to CBG forklift operators if different that standard.
?Communicate with warehouse supervisor or office staff regarding shipments (on time, late, other issues).
?Maintain a consistent flow with checking in trucks to ensure forklift operators can work.
?Maintain a clean environment around truck driveway and docks (i.e. removing debris when visible).
?This position may be responsible for inventory of products/ingredients or finished goods dependent upon location

?Sealing trailers

The noise level in the work environment varies from moderate to loud is frequently exposed to work in wet, humid, or outdoor conditions. The employee is also exposed to varying temperatures extremes including heat and cold as the weather varies. The employee is occasionally exposed to work on elevated platforms, with fumes or airborne particles, or with toxic or caustic chemicals. This employee is frequently exposed to work near moving mechanical parts and exposed to vibration. The noise level in the work environment is usually loud. Forklift experience preferred; on-the-job certification required
Physical Demands:
The employee must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include Close vision, Distance vision, Color vision, Peripheral vision, Depth perception and Ability to adjust focus. While performing the duties of this Job, the employee is frequently required to sit and use hands to finger, handle, or feel. The employee is regularly required to walk, climb or balance, reach with hands or arms and talk or hear. The employee is occasionally required to stand and stoop, kneel, crouch, or crawl.
