Pension and Endowments Department

The Pension Department (PEN) is responsible for the management of the post-retirement benefit Plans of the World Bank Group (WBG). PEN fulfills its fiduciary mandate under a strong governance framework established by the WBG, under the oversight of the Pension Finance Committee, chaired by the MDCFO. PEN is part of the Treasury Vice-Presidency. Its activities regroup the key functions that pertain to the management of the Pension Plans and are organized in three teams: Pension Investments (PENIN); Pension Middle- Office (PENMO); and Pension Administration (PENAD). PEN is a department with around 95 professional staff who are experts in key aspects of managing a pension Plan. PEN manages over $30 billion in assets as of end 2020 and serves around 17,000 Plan participants and beneficiaries. The PENDP team, directly under the PENDP Director's supervision, is comprised of PEN's Chief Actuary, of the PEN Risk Management team and of the PEN Director's Office front office, comprised of a Financial Analyst position, and an executive-assistant-level position (this recruitment).

Responsibilities

PENDP seeks to recruit an ET Temporary for executive assistant functions - to provide comprehensive administrative support to the PEN Director. The ET will report to the PEN Director and (GE) Financial Analyst.

The ET Temporary will be responsible for the following:

Time Management and Support? Work with a high level of discretion and confidentiality; provide wide- ranging financial and executive assistance to the Director.
? Manage day-day calendar, scheduling meetings and preparing logistics for Director's and PEN Senior Leadership Team (SLT's) meetings.
? Ensure efficient coordination with TREVP Front Office and with other TRE Directors' front offices, as needed.
? Prepare all travel logistics in coordination with speaking engagements, conferences and business meetings with investment counterparts.
? Efficiently receive and process items for the Director's review, clearance and signature
? Work with Financial Analyst, when necessary to support the Director and managers in the timely delivery of high-quality reports and presentations
? Maintain filing and record management for the Office of the Director. Provide quality control of documents to ensure consistency and compliance with Bank standards and procedures.

Other Duties:
? Assist Director and Financial Analyst with logistical and other preparations for Pension Finance Committee Meetings (including on meeting days)

and other high-level governance and stakeholder meetings
? Coordinate TRS and LARS, as well as train and assist staff in the proper use of these systems.
? Serve as Coordinator and/or main point of PEN contact for WBG and TRE recognition programs (Above and Beyond Awards, Finance Partners Performance Awards, etc.), ensuring PEN's successful participation in these programs.
? Provide guidance and, as necessary, on-the-job training to other junior administrative staff.
? Work with other admins and colleagues to organize business, social gatherings and other ad-hoc events to enhance PEN teambuilding.
? Undertake other duties and ad hoc assignments that may be assigned occasionally, including during absences and heavy work periods.

Selection Criteria

The successful candidate should have the following qualifications: ? Minimum Education/Experience: bachelor's degree in administration or other related field and at least 5 years relevant work experience in a large

international organization, or equivalent combination of education and experience.
? Excellent organizational and administrative skills, demonstrated ability to organize, prioritize, schedule, plan and coordinate work and other activities internally and externally.
? A strong team player with the ability to interact with all levels of an organization.
? Basic understanding of economic and financial principles and terminologies acquired in a university setting or through relevant work experience.
? A strong team player with the ability to interact with all levels of an organization.
? Solid experience and demonstrated knowledge of the World Bank Group's organizational structure, administrative processes, policies, and procedures are preferred.
? Proven track record in managing confidentiality. Strong personal ethics and sound judgement.
? Reliability, resourcefulness and flexibility.
? Strong attention to detail and to maintaining high-quality standards.
? Proven ability to create and work in a team-oriented, multi-cultural environment, to perform effectively in a constantly changing environment with competing activities and demands, and to effectively serve as a team member.
? Solid experience in MS Office suite including Word, PowerPoint, and Excel.
? Sound knowledge of relevant computer software, including basic functions of Bank standard computer applications (SAP, ICAM, SharePoint, Webex, Microsoft Teams), and the ability to help organize data and information retrieval systems.
? Fluency and strong communication skills in English, including ability to draft, proofread and edit correspondence.
