The ideal candidate is solutions-driven, detail-oriented, and able to work independently in a fast-paced setting that supports field technicians, clients, and multiple locations.Essential Job Functions & Responsibilities:
- Serve as the first point of contact for visitors, clients, shippers, and delivery personnel.
- Professionally manage incoming calls, take messages, and respond to urgent requests.
- Maintain office organization and cleanliness, including break room, reception area, garbage, and recycling.
- Manage mail and package distribution, including receiving, tracking, and outgoing shipments.
- Prepare shipping labels (e.g., FedEx, UPS) and coordinate pickups/deliveries.
- Plan and support meeting logistics and maintain the training facility schedule.
- Coordinate guest food services, order food when employees or customers are visiting, stock breakroom supplies, and maintain kitchen cleanliness to executive standards.
- Monitor and maintain office supplies and equipment.
- Ensure door security and visitor ID checks; liaise with local contacts for access and security protocols.
- Assist with the creation of internal/external correspondence and reports.
- Support emergency response situations and other administrative team efforts.
- Note: The warehouse at our headquarters is small – consider it a very large garage with about two stories height. No forklift is typically used, rather, a hand lift is available for higher shelving.
- Receive, unload, and document incoming deliveries and shipments.
- Follow SOPs for recycling inverters and key equipment.
- Maintain and organize inventory across office, warehouse, and remote storage units.
- Track, maintain, and coordinate the distribution of critical equipment and materials with field techs and internal teams.
- Maintain Bills of Materials (BOMs) for essential equipment.
- Identify, report, and resolve any loss, damage, or surplus of materials.
- Service and ensure the functionality of warehouse machinery and tools.
- Oversee warehouse shelving, documentation, and proper labeling for accessibility.
- Coordinate facility maintenance (e.g., janitorial, HVAC, security, snow/ice, plumbing, mowing).
- Operate equipment/tools safely (e.g., generators, hand tools, office equipment).
- Maintain compliance with safety and security procedures.
- Track and maintain key departmental metrics as required.
- Assist in procurement activities and identify process improvements that promote scalability across locations.
- Must be able to lift, carry, push, and pull up to 50 pounds independently and up to 70 pounds with assistance.
- Requires regular standing, walking, sitting, reaching, bending, twisting, kneeling, squatting, stooping, climbing, and grasping.
- Ability to perform tasks involving repetitive hand and fine motor coordination.
- Must have corrected vision and hearing within normal range and be able to drive a department vehicle when needed.
