What We’re Looking For: We are looking for a part time, highly organized and detail-oriented Project Coordinator to assist in managing project deadlines, scheduling meetings, maintaining calendars, and ensuring smooth project execution. This role involves supporting project teams and managers to ensure all tasks are completed on time, appointments are properly scheduled, and that communication flows efficiently between all stakeholders. What You'll Do
• Track project milestones and deadlines.
• Ensure tasks are completed on schedule by coordinating with team members.
• Monitor the progress of tasks and assist in adjusting timelines as necessary.
• Schedule and organize meetings for project teams, stakeholders, and clients.
• Prepare and distribute meeting agendas, minutes, and follow-up action items.
• Ensure that meetings are conducted in a timely manner, with the necessary resources and technology.
• Maintain and update project-related calendars for team members and stakeholders.
• Ensure there are no scheduling conflicts, and adjust timelines or appointments as needed.
• Set reminders for important project deadlines, meetings, and appointments.
• Schedule and update appointments for team members, stakeholders, and clients.
• Confirm meeting times and ensure all participants are aware of meeting details.
• Handle changes to schedules and ensure smooth communication regarding any adjustments.
• Serve as the point of contact for project-related inquiries.
• Communicate important project updates, deadlines, and schedules to all relevant parties.
• Collaborate with cross-functional teams to facilitate the smooth flow of information and decision-making.
• Maintain and organize project documentation, including contracts, meeting notes, reports, and action items.
• Prepare and update status reports to share with project managers and stakeholders.
• Ensure accurate records of all project-related communications and activities.

Basic Qualifications
• Three or more years of experience in project coordination.
• Experience in coordinating teams and clients.
• Proven success in a corporate setting, working with all levels of management.
• Strong written, verbal, and presentation skills.
• Minimum of one year of experience Microsoft Office suite of applications.
• Strong administrative skills with experience working on large, complex projects and handling proprietary and confidential information.
• Excellent organizational, relationship building, and problem-solving skills.
• Effective interpersonal and communication abilities, with the capacity to collaborate across diverse teams and interact with clients.
• Ability to manage multiple projects concurrently while prioritizing tasks effectively.
• Strong commitment to quality, safety, and sustainability.
• Experience in coordinating teams and clients.
• Proven success in a corporate setting, working with all levels of management.
• Strong written, verbal, and presentation skills.
• Strong problem-solving skills, research skills, and attention to detail.

Security Clearance and Where You'll Work
• All candidates must submit for a comprehensive background check.
• This position is 95% remote. Occasional in person work may be required in the Arlington VA area.
