Keep reading! DUTIES & RESPONSIBILITIES The position will be primarily remote with occasional need for in person support for office needs. This person will be directly responsible for assisting with administrative and operational functions associated with the practice.  WILLING and ABLE to speak & listen to acutely/newly bereaved individuals/families inquiring about services  Provide support to Director and Providers with various reporting and misc admin/clinic tasks  First point of contact with community inquiries/partners, which can include managing a waitlist for new clients, assisting with intern requests, or scheduling interviews  Manage general email inbox for the practice  Keep practice information up-to-date with all outside contractors and stakeholders  Work within Electronic Health Records to manage administrative needs  Assist Medical Billing with insurance verifications and other accounts receivable tasks  Scheduling/answering phones/managing all general client communications - via phone, email, in-person (if needed)  Create/maintain regular posts on social media page  Document all processes/procedures  Provide administrative training for new interns/staff  Create administrative training videos for new interns/staff  Create and manage indeed posts for new staff job postings  Collect, manage, and upload intake paperwork, evaluations, progress notes, insurance documents, etc.  Complete records requests and file all paperwork  Follow up on paperwork needs for new clients  Update staff manual as needed  Follow up on credentialing with insurance companies  Handle and distribute mail (as needed)  Maintain a system for treatment plan updates and inform staff when out of compliance  Closure date review for files that need discharge completed and inform staff when out of compliance  Audit charts for unsigned notes and inform staff when out of compliance  Coordinate insurance verification and credit card authorizations for clients  Collect updated info for staff licenses as needed  Send feedback forms to all new clients  Assist with the execution of holiday and other staff events POSITION QUALIFICATIONS 1. Minimum of high school education; preferably with secretarial and computer background. 2. General knowledge of spelling, punctuation, grammar, clinical records, and office procedures. 3. Excellent knowledge of technology, use of apps, smartphone, computer, printer/copier/scanner, email, and ability to quickly learn various software systems. 4. Own a personal laptop and smartphone for use with current practice management systems, along with access to high-speed internet. 5. Team-player with a positive attitude 6. Aptitude or computer data entry and use of current software systems. 7. Ability to establish and maintain effective working relationships. 8. Ability to meet the public and staff as a kind, compassionate, friendly, and professional representative of the organization. 9. Effective social interaction, communication, organizational skills, and the ability to perform a variety of tasks efficiently. 10. Work well in a collaborative team environment 11. Previous experience in medical billing and general office procedures with electronic medical record and billing systems and related applications, with familiarity with ICD-9, ICD-10, and CPT codes 12. A minimum of one (1) year of scheduling and front office experience in the healthcare field PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to see, talk or hear.  Must be able to be around and apply EPA approved sanitizing (surface and hand), cleaning and disinfecting products.  Must be willing to wear PPE (Personal protective equipment) while working in person.  Items include but are not limited to face coverings/masks.
