Role: Part-Time Remote Scheduler
As a Scheduler, you’ll play a critical role in ensuring smooth operations for our pediatric therapy clinic by coordinating schedules, communicating with clients, and supporting our therapists.
Hours Needed:
Shift 1: 9-12pm PST
Shift 2: 1-5pm PST

Key Responsibilities:
Communication:
• Communicate with parents and therapists regarding schedules.
• Handle rescheduling and canceling clients.
• Update the waitlist to ensure full schedules.
• Ensure the team is aligned with schedule updates.
Appointment Scheduling:
• Coordinate therapy sessions based on client and therapist availability.
• Adjust and update schedules as needed.
• Maintain accurate records of all appointments.
Client Liaison:
• Serve as a point of contact for families, answering questions and addressing scheduling concerns.
• Provide timely reminders about upcoming appointments or rescheduling needs.
Team Collaboration:
• Work closely with therapists to optimize schedules.
• Attend team meetings and contribute ideas to enhance efficiency and client satisfaction.
Compliance and Documentation:
• Ensure schedules align with clinic policies and healthcare regulations (e.g., HIPAA).
• Keep thorough records of scheduling and client interactions.
What We’re Looking For:
• Strong organizational skills with great attention to detail.
• Excellent written and verbal communication skills in both languages.
• Proficiency with scheduling tools like Google Calendar or Outlook.
• Ability to multitask, prioritize, and handle time-sensitive tasks effectively.
• A warm, empathetic attitude when interacting with families.
Preferred Qualifications:
• Associate’s degree or relevant experience in scheduling or administrative support.
• Familiarity with healthcare or therapy settings is a plus.
• Bilingual is a plus!
Pay & Benefits:
• Pay Rate: $16–$20/hour, depending on experience. Potential for Full-time and benefits
