Role Description
We are seeking a detail-oriented and knowledgeable Research Contracts and Grants Administrator to support sponsored research activities within our Sponsored Programs Office. This position plays a key role in ensuring the compliant and efficient administration of externally funded research projects. The ideal candidate will have experience in both pre- and post-award processes and a strong understanding of federal regulations and sponsor requirements.
• Review and process proposals for submission to federal and non-federal sponsors.
• Facilitate Just-in-Time (JIT) requests and coordinate submission of prior approval requests.
• Interpret award terms and conditions and ensure compliance with federal regulations (e.g., Uniform Guidance 2 CFR 200, FAR) and sponsor-specific policies (e.g., NIH, NSF, DOD).
• Coordinate subaward issuance and modifications.
• Monitor post-award activities to ensure timely and accurate financial and technical reporting.
• Serve as a liaison between KP Research Administrators, Principal Investigators, department staff, and external sponsors.
• Provide guidance on non-routine business transactions and complex award terms.
• Maintain accurate records and documentation in accordance with institutional and sponsor requirements.
• Support audits and other research compliance reviews as needed.
This position can be based Remote from any KP location in CA, OR, CO, WA, GA, MD, VA, HI or D.C. Only; however, they may be supporting any of the Kaiser Permanente Research Institutes’ locations.
PLEASE NOTE: Salary ranges are geographically based, and the posted range reflects the Northern CA region. Lower salary ranges will apply for other labor markets outside of NCAL.
Qualifications
• Minimum five (5) years of related work experience, with EITHER: two (2) years of experience in general research administration, and three (3) years in a related support discipline; OR at least five (5) years in a related contracts and grants administration support discipline.
• Bachelor's degree in business administration, accounting or related field OR four (4) years of experience in a directly related field.
• High School Diploma or General Education Development (GED) required.
Requirements
• Knowledge of principles of accounting and contract administration/law.
• Excellent consulting skills.
• Ability to work independently and exercise mature judgment.
• Excellent communication skills (oral and written).
• Proficient in general computer skills, including word processing and spreadsheet software.
• Must be able to work in a Labor/Management Partnership environment.
Preferred Qualifications
• Federal grant, contract and subcontract administration experience.
• Office of Management and Budget regulations and compliance experience.
• Understanding of multiple research administrative processes, including those affecting federal, state, pharmaceutical (clinical trial) and Kaiser-sponsored projects.
